Paranormal Venue Hire – Terms & Conditions
1. Booking
- A booking is only confirmed once the required deposit has been received.
- The remaining balance must be paid no later than 28 days before the event.
- Failure to pay the balance by the due date may result in cancellation of the booking and loss of the deposit.
2. Public Liability Insurance
- All companies hiring Thwaite Mills Museum must hold valid Public Liability Insurance with a minimum cover of £5 million.
- A copy of the insurance certificate must be provided before the event.
- Companies without suitable insurance will not be permitted to hire the venue.
3. Responsibility
- The hiring company is responsible for the behaviour, safety and welfare of all guests, staff, contractors and volunteers attending their event.
- The hiring company must carry out suitable risk assessments for their activities.
- Any accidents, incidents or near misses must be reported immediately to Thwaite Mills Museum management.
4. Capacity
- Standard venue hire includes a maximum of 40 paying guests, plus the hiring company's event team.
- Any increase in guest numbers must be agreed in writing by Thwaite Mills Museum before the event.
- The organiser must not exceed the agreed capacity at any time.
5. Event Times
- Standard hire is from 7:00pm until 3:00am, unless otherwise agreed.
- The venue must be vacated promptly at the agreed finishing time.
6. Care of the Museum
- Thwaite Mills Museum is a historic building and must be treated with the utmost care and respect at all times.
- No fixtures, fittings or displays may be moved without prior permission.
- No naked flames of any kind are permitted anywhere within the museum or its grounds. This includes candles, tealights, oil lamps, incense, matches, lighters used for demonstrations, fire bowls, pyrotechnics or any other open flame.
- Smoke machines or special effects may only be used with prior written permission.
7. Food, Drink and Housekeeping
- No food or drinks are permitted anywhere within the museum except in the designated base room.
- All refreshments must remain within the base room and must not be taken into exhibition areas or around the museum.
- The hiring company is responsible for removing all rubbish, food waste and recycling from the premises before departure.
- The venue must be left in the same condition in which it was found.
- Any furniture or equipment moved during the event must be returned to its original position unless otherwise agreed.
- The organiser is responsible for ensuring the venue is left clean, tidy and secure at the end of the hire period.
8. Damage
- The hiring company accepts full responsibility for any loss or damage caused by themselves, their staff, contractors or guests during the hire period.
- The cost of repairs, replacement or specialist cleaning resulting from damage will be charged to the organiser.
9. Alcohol and Drugs
- Anyone under the influence of illegal drugs will be refused entry.
- Excessive alcohol consumption will not be tolerated.
- Thwaite Mills Museum reserves the right to remove anyone behaving in an unsafe, abusive or disruptive manner.
10. Filming and Photography
- Photography and filming are permitted during the event.
- Images or videos used commercially should acknowledge Thwaite Mills Museum where appropriate.
- Thwaite Mills Museum reserves the right to photograph or film events for promotional purposes unless otherwise agreed in writing.
11. Security
- The venue must not be left unsecured during the hire period.
- Emergency exits and fire escape routes must remain clear at all times.
12. Parking
- Vehicles are parked entirely at the owner's risk.
- Thwaite Mills Museum accepts no responsibility for loss or damage to vehicles or their contents.
13. Cancellations
- Deposits are non-refundable.
- If the organiser cancels within 28 days of the event, the full hire fee remains payable unless otherwise agreed.
- If Thwaite Mills Museum is unable to proceed with the booking due to circumstances beyond its control, all monies paid will be refunded. This shall be the museum's full liability.
In rare occasions, some areas may not be accessible, we will let you know asap if ever this happens
14. Liability
- Guests attend at their own risk.
- Thwaite Mills Museum accepts no responsibility for personal injury, loss or damage to personal belongings except where required by law.
15. Future Bookings
- Thwaite Mills Museum reserves the right to refuse future bookings from any organiser or company that breaches these Terms & Conditions, causes damage to the property, fails to maintain appropriate insurance, behaves in an unacceptable manner, fails to follow instructions from museum representatives, or brings the venue into disrepute.
16. Compliance
- The hiring company agrees to comply with all relevant health and safety legislation and any reasonable instructions given by Thwaite Mills Museum representatives.
- Failure to comply with these Terms & Conditions may result in the event being terminated immediately without refund.
By booking Thwaite Mills Museum, the organiser confirms that they have read, understood and agree to abide by these Terms & Conditions.
